Executive Assistant

Location: Metro Detroit preferred (currently working remotely)

Full-time

Compensation: $40,000

POSITION SUMMARY

Michigan United is looking for a full-time Executive Assistant to provide confidential and administrative support to the Executive Director. The ideal candidate will have previous experience supporting executive staff.

 

A successful Executive Assistant will provide complex calendar management, exercising discretion and judgment to appropriately prioritize complicated and challenging schedules; respond to frequent changes in schedules, and set scheduling priorities. The Executive Assistant will understand and share our values and vision for justice and dignity for all people. Multilingual candidates are a plus.

 

ESSENTIAL FUNCTIONS

  • Manage the Executive Director’s calendar and email

  • Write and distribute email, correspondence memos, letters, faxes, and forms

  • Answer and screen phone calls and general email

  • Schedule and plan meetings; take and disseminate detailed minutes

  • Assist in the preparation of regularly scheduled reports

  • Develop and maintain a filing system; both digital and paper

  • Update and maintain office policies and procedures

  • Maintain contact lists

  • Book travel arrangements for staff

  • Submit expense reports and reimbursements

  • Log incoming mail and correspondence

 

MINIMUM REQUIREMENTS

  • Share Michigan United’s values and vision

  • Experience as an Executive Assistant

  • Excellent time management skills and the ability to prioritize work to meet hard deadlines

  • Knowledge of office management systems and procedures

  • Working knowledge of office equipment

  • Proficiency in Google Workplace, Microsoft Office

  • Excels at working independently

  • Detail-oriented and solutions-driven

  • Excellent written and verbal communication skills

  • Excellent organizational skills

  • High School diploma

 

BENEFITS

  • Health Insurance: Available immediately upon hire.

  • Health Savings Account: Prorated contribution of $600 per calendar year paid in monthly increments. (if on our company plan)

  • Stipends: Transportation stipend (currently internet stipend) of $75 a month and cell phone stipend of $50 a month.

  • Paid Time Off: 15 days for the first and second year of employment which begin accruing when you start.  It cannot be taken for the first 90 days.

  • Sabbatical: Two month Sabbatical after 4 years of full-time service

 

WORKING CONDITIONS

  • Office & field environment

  • Normal business hours, some additional hours required with frequent Saturday activities 

  • This is a remote position until the organization returns to an in-person model, at which time it will become Detroit office based.
